How TotsPal Works

TotsPal is a comprehensive platform that connects three types of users to create a complete childcare ecosystem:

  • Parents search for childcare providers, join waitlists, and track their children's attendance once enrolled.
  • Childcare Providers (daycare centers and home daycares) create profiles, manage waitlists, enroll children, track attendance, post job openings, and list available spots.
  • Job Seekers (nannies and early childhood educators) create profiles, search for job opportunities, and apply to positions posted by parents and providers.

All three user types can communicate through in-app messaging, and the platform provides real-time updates, attendance tracking, and seamless coordination between families and childcare professionals.

How User Types Connect

Discovery & Search

Parents → Providers: Parents search for providers by location, filters, and view provider profiles. Providers appear in search results based on their profile information and location.

Parents → Job Seekers: Parents can search for nannies/ECEs directly or post jobs. Job seekers appear in search results based on their profile.

Providers → Job Seekers: Providers can search for job seekers or post jobs. Job seekers can find provider job postings.

Job Seekers → Parents & Providers: Job seekers browse job postings from both parents and providers, and can view their profiles.

Communication

All user types can communicate through in-app messaging:

  • Parents ↔ Providers: Discuss waitlist, enrollment, attendance, absences, and general questions.
  • Parents ↔ Job Seekers: Discuss job opportunities, schedules, and requirements.
  • Providers ↔ Job Seekers: Discuss job applications, employment details, and coordination.

Messages are private and only visible to the participants. You'll receive push notifications for new messages.

Waitlist & Enrollment Flow
  1. Parent searches for providers and views profiles
  2. Parent joins waitlist → Provider receives notification
  3. Provider manages waitlist → Updates status, adds notes, adjusts position
  4. Provider enrolls child from waitlist → Enrollment record created
  5. Attendance tracking begins → Both parent and provider can mark attendance
  6. Ongoing communication → Messages, notifications, attendance updates
Job Application Flow
  1. Parent or Provider posts job → Job appears in Jobs section
  2. Job Seeker searches for jobs or views job postings
  3. Job Seeker applies → Submits application with cover letter
  4. Parent/Provider receives notification → Reviews application and profile
  5. Parent/Provider updates status → Pending → Reviewed → Accepted/Rejected
  6. If accepted: Provider can add job seeker as employee for timesheet tracking
